A typical operation of SalesNotes could be to install a network system
in Head Office used by the sales administration personnel, and a remote
version on each Sales Person's laptop or PC, which should also have a
modem. A "Main Database" would be set up on the server and
each record allocated the name of a Sales Person, which would enable the
distribution of the data to the remote users every time a
telecommunication link is made.
The System Administrator has access to all parts of the system and is
responsible for setting up the operating parameters, such as passwords,
product lists, layouts of Quotes, Invoices etc. The field labels and
types can be changed to suit your company's needs. To maintain data
integrity, the other users of SalesNotes will not have full access to the
system, although the access levels can vary. Wherever possible it is
sensible to use the Data Tables, which can be set up with frequently
used data and used in the selection process when searching, creating
reports or mailshots.
The Communication Link is fully automated and can be made on a
regular or ad hoc basis, all the user has to click on the sync button
when connected to the internet or Network and his data will be updated.
Security checks do not allow easy access to the data, but regular
backups are essential.Save valuable time and avoid costly mistakes,
using SalesNotes the production of quotes, orders and invoices can be
automated. Discounts can be automatically calculated and quotation and
order numbers generated and accurately logged against the appropriate
contact.
Management of the database includes the possibility to group data
according to branch office or sales territory and the managers of these
areas are therefore able to keep abreast of sales activity and results
in their area. Changing the territory boundaries or personnel is not a
problem using the Sectorisation utility. Data integrity is maintained by
the use of predefined parameters such as lists of Sales Objectives,
Department Names, Market Sectors etc. and more importantly, by different
security and access levels.
Sales administration staff in Head Office can use the system to log
any communications with prospects and customers on behalf of the sales
force, making appointments and sending mail and product information
where necessary. Apart from setting up individual meetings involving one
or maybe two members of the Sales Team, the SalesNotes diary can be used
for setting up group meetings such as sales meetings, budget meetings,
planning meetings and logging staff holidays, training and non-selling
time which all needs analysis.
Basic Company and Contact information is stored in the SalesNotes
database, but can be expanded to include:
- Product Interest
- Installed Products and Competitor information
- Geographical information
- Parents and Subsidiaries.
Data can be retrieved for use in reports, e-mails, faxes, individual
letters, labels and mail-shots. Make the best use of Microsoft Word, by
using the SalesNotes Quicklink, which uses the name and address of the
Contact in the open window and speeds the production of an accurate
single letter, or the SalesNotes Bookmark or letter, to incorporate more
information from the database such as Product Interest. Formats for
Quotations and Invoices are included in SalesNotes, but are fully
flexible so that your company's preferred style can be set up. SalesNotes
includes many report formats, but if the one you need is not there, just
set it up yourself using the report writer. |
